How to Choose HOA Resale Document Software
Evaluate resale software using an actual order, written commercial terms, and a repeatable scorecard for preparation, approvals, delivery, integrations, and data access.
Start with the work your team needs to change
The best-fit resale document platform is the one that reliably handles your communities, transaction types, review responsibilities, and operating model. Evaluate the complete order from request to release. A feature list or a fast demonstration of a single PDF cannot establish that fit.
This guide is written by DocuSeller. Use the same checklist with us and with any alternative, including HomeWiseDocs.
Define the problem before scheduling demos
Sample recent completed orders and record hands-on preparation time separately from elapsed time. Classify the delays: missing association documents, stale property data, unclear questions, approval waits, payment issues, or delivery questions. Keep ordinary orders and exception cases separate.
Choose the result you need to improve. For example, reducing repeated data entry requires a different demonstration from reducing calls about order status. Preserve the baseline so you can compare a pilot with the process you already have.
A scorecard you can use with every provider
For each criterion, record one of three results: demonstrated with your sample, requires follow-up, or does not meet the requirement. Keep the evidence and the owner of every open question. Set your must-have requirements before the demos.
Download the blank resale platform evaluation scorecard (CSV). It includes a suggested test for each criterion and space for evidence, findings, and follow-up. It contains no preassigned vendor scores.
| Criterion | Ask the vendor to show |
|---|---|
| Ordering | A customer choosing the right association and product, seeing the price, paying, and returning to the order without staff assistance. |
| Preparation | The origin of each fact and attachment, what is reused, and what is refreshed for the transaction. |
| Exceptions | A missing attachment, conflicting account data, and a returned approval. Confirm who is notified and what prevents premature release. |
| Permissions | What an operator, approver, customer, and external recipient can see and change. Test an unauthorized action. |
| Integrations | Your accounting system and exact fields. Check refresh timing, failed sync handling, and manual correction procedures. |
| Commercial terms | A written calculation of gross sale, deductions, refunds, and net revenue retained, plus any separate service charges. |
| Support and exit | Issue escalation, ownership of configuration, export formats, retention terms, and responsibilities when the agreement ends. |
Test AI against source records
If AI prepares an answer or letter, use a redacted sample with a fact it should know, a fact it should not infer, and an ambiguous instruction. Check which source was used, how the operator corrects the draft, and whether the review history remains available.
Distinguish generating text from validating a financial balance or approving a disclosure. Ask what data reaches any AI service, who controls access, and which review steps apply before customer delivery. Compare the final approved output—not only the speed of the first draft.
Compare the economics without mixing different prices
Ask both providers to price the same product and operating scenario. Separate customer-paid charges from management-company fees and the revenue your company retains. Include canceled orders, refunds, rush requests, integrations, training, and the time your staff still spends on exceptions.
DocuSeller describes its commercial model on the partnership pricing page. Ask for a worked transaction under your proposed agreement. Avoid projecting savings from a generic package price quoted for an unrelated community.
Run a bounded pilot
- Choose representative communities and identify the transaction types that will remain outside the pilot.
- Assign an operator, approver, finance owner, and support contact.
- Agree on acceptance checks: complete packages, correct recipients, reconciled payments, and exportable records.
- Measure hands-on work, rework, exception frequency, completion time, and customer follow-up against the baseline.
- Decide whether to expand only after the unresolved requirements have owners and satisfactory evidence.
What to request before signing
Obtain the proposed agreement, product scope, fee schedule, support terms, security documentation, implementation responsibilities, and sample exports. Confirm any named integration and workflow demonstrated in the sales process is included in your proposal.
