What Is an HOA Resale Package?

A preparation checklist for community managers: organize association records, collect required information, review the package, and handle transaction changes.

The short answer

An HOA resale package is a collection of association documents and property-related information requested for a sale. It can combine existing records with answers or certificates prepared for the transaction. The contents, terminology, charges, and timing depend on the community, transaction, and applicable requirements.

Start with your association records and collect the transaction requirements from the purchaser. Use this checklist to organize preparation and review; confirm the requirements for the particular community and transaction.

Documents to include and keep current

Define what belongs in each product and who maintains it. Check that each source document is the current version required for the transaction.

Common categories for your team to prepare and review
CategoryWhat to check
Governing documentsDeclaration or CC&Rs, bylaws, rules, and relevant amendments. Check whether the documents apply to a master association, sub-association, or both.
Association financesThe requested budget, financial statements, reserve information, and assessment disclosures. Record the period covered by each document.
Property or account informationAny requested account statement, assessment balance, transfer-related information, or property-specific disclosure. Identify the date through which the answer is current.
Transaction documentsThe resale certificate, disclosure form, estoppel, or other product specified for the transaction. Similar names do not necessarily mean identical contents.
Lender requestsThe lender’s exact questionnaire and supporting documents, if requested. Check whether these are a separate order or part of the selected package.
Other requested recordsInsurance documents, meeting records, or additional disclosures identified by the closing team. Confirm permission to share and the appropriate recipient.

Resale package, resale certificate, and estoppel: what is the difference?

Think of “package” as the collection being ordered. A certificate or an estoppel may be one of its transaction-specific components. A lender questionnaire is a request for particular answers and may follow a separate process. Providers and jurisdictions use these terms differently, so order by the required contents and purpose as well as the product name.

Define which records belong in each product so purchasers can understand the scope without calling your office. Check a lender’s requested form rather than assuming an existing questionnaire answers every question.

Information to collect from the purchaser

  1. Property: the full address, unit identifier, and association name. Resolve similarly named communities before selecting a record.
  2. Association structure: confirm whether separate master and sub-association requests are needed.
  3. Transaction: the requested completion date, closing date, and contact handling the order. Distinguish a sale from a refinance or a pre-listing request.
  4. Documents: the closing team’s checklist and the lender’s current form, if applicable.
  5. Payment: the authorized payer and the displayed product, processing, delivery, and rush charges.
  6. Recipients: the people permitted to receive the package and their correct contact details.

Set clear pricing and delivery expectations

Set the price and completion estimate for each community and product. Explain what a rush option changes, when processing starts, how missing information affects the date, and what happens if the transaction is canceled.

Instant download of an existing file is different from preparing a current financial answer and obtaining approval. Automation can reduce repetitive work; it cannot establish missing facts or remove a required review. Keep the order history and assign an owner to any exception that puts delivery at risk.

Check the package before release

  • Match the property, unit, association, and transaction to your order.
  • Compare the delivered files against the requested list and note anything outstanding.
  • Check document dates, amendments, reporting periods, and any stated validity or update conditions.
  • Keep the source of each financial answer and the contact responsible for corrections.
  • Store the order receipt, delivery record, and the actual files supplied to the closing team.

If the closing date or account balance changes

Record the order number and changed information. Determine which answers or documents need updating, whether another approval is required, and whether a fee applies. Preserve the earlier version as part of the transaction record rather than silently substituting it.

For management companies preparing these packages

Separate reusable association documents from facts that must be refreshed for each property. Assign a document owner, a review interval, and a release decision. That makes a missing attachment or outdated answer a visible task instead of a last-minute closing problem.
